Dear Volunteer,
As scholarship providers, we are all dedicated to protecting and handling personal information with care and respect. An integral part of that protection includes removing records that are no longer accessed or needed for reporting purposes.
As of September 1, 2021, we will be permanently deleting the following records from ChapterNet, and we wanted to let you know well in advance.
All Applicant Records in the Historical Archive from 2014
The Historical Archive stores a static copy of what a student’s application looked like on the date it was archived. We will be permanently deleting the 2014 archived application records. This deletion will not affect archived records from 2015 and later, and it will not affect any students’ live records, which can be found on the Applicants page in ChapterNet.
If your chapter’s data retention policy outlines a different retention schedule for this application data, you will need to download these records individually and save them in a secure location.
Inactive Student Accounts
We will also be deleting inactive student accounts that meet the following criteria:
- Student accounts that were created but never logged into and are not matched to any scholarships.
- Student accounts that were created but have not been logged into in the past 4 years and are not matched to any scholarships and the selected year of high school graduation is before the current year.
Again, records that meet the criteria identified above will be permanently deleted on September 1. Active student accounts will not be affected.
If you need to retain any of the information listed above, please take the time to review and download applicable data. We will not be able to recover this information after it is deleted on September 1.
Chapter Super Administrators can access the 2014 Archive by
- Selecting “Historical Archive” under the “Awards” menu option
- Then clicking “Go To 2014 Archive”
NOTE: If you were not using ChapterNet in 2014, you will not have a 2014 Archive.
If your policies or bylaws do not require you to retain this data, no further action is necessary.
